- How long does it take?
The first backup is the biggest and will take the longest, so we usually do it to disk. We'll send an external hard disk to you via FedEx. Then we walk you through doing the first backup to disk, and you can send it back to us via the enclosed prepaid FedEx envelope. Once the first backup is done, the rest will just be incremental backups. Although the length of time will depend on your Internet connection, we find that most of our customers' incremental backups take less than 30 minutes. If you have a very large amount of data that changes regularly, it can take longer, but we are experts at adjusting the schedule to meet your needs. Rest assured that your computer will be ready for you when you get into the office the next morning.
- What is encryption and why is it important?
I like the definition we found on Digital Dictionary: "Encryption is the conversion of data into a form, called a ciphertext, that cannot be easily understood by unauthorized people. Decryption is the process of converting encrypted data back into its original form, so it can be understood." Our backup software encrypts all the data before copying it to our server. To further protect your business our service ensures that your data STAYS encrypted on our server.
- I'm backing up to an external hard disk, isn't that good enough?
That depends on what you're protecting yourself against. If you just want to protect yourself against accidentally deleting a file or from hard drive failure, then it might be OK. However, there are many things that this won't protect you against (like fire, flood, theft, virus outbreak...). Our service protects you against all of these. So if you're looking for a complete solution, we've got it for you.
- Do I have to sign up for a long period of time?
No, this isn't a cellular phone plan. We don't make you sign a lengthy contract. You can cancel any time you want. Just give us a call or email us. We have found that once people get the peace of mind our service provides, they don't want to go back to their old cumbersome backup methods.
- I'm not a computer Guru. How difficult is it going to be to set up?
We do our best to make it easy and effortless for you. One of our engineers will either come on-site or talk you through the setup. They'll also work with you to determine where all your important data is hiding on the computer and create the backup list.
- How do I know it's working?
After every backup, our system will send you an email with a summary. Take a quick glance at the email to make sure there are no errors. As with any backup system, we recommend that you test it by restoring some of your data occasionally. This will help ensure the system is working and you can get a good nights sleep. We recommend that you do a test restore once per quarter, though some of our customers do it monthly or yearly. If you need help doing a restore, please feel free to call us. We'll walk you through it.
- What if there are errors in the confirmation email I get?
Take a quick look at the email and see if the errors make sense. If you have an IT person, they should take a look at the attached logs. The solution may be obvious at that point. If not, please feel free to call us. We can take a look at the logs and determine what the problem is. It's usually something simple.
- We have protected medical information and are subject to HIPAA guidelines. Can we use your service?
Yes, absolutely. Our official HIPAA statement is here (link), but here's the short answer. We use stronger encryption than HIPAA requires and we go above and beyond the requirements of HIPAA. The guidelines state that data has to be encrypted during transit, however with our service the data STAYS encrypted even after it's been transmitted. So, nobody can poke through the data when it's on our servers... Not even US! We do everything we can to protect your data, your business, and your liability.
